  • A notice of hearing arrives by fax; one word starts the routine that reads it, lists its dates and suggests the matter.
  • Set it up once as a Project with your instructions; every chat in it starts ready.
  • Tagging, calendar entries and sends wait for your OK.
  • Fax.Plus steps were run in our test; other connectors depend on your client.
  • Works with Claude, ChatGPT and other AI assistants that support remote MCP with OAuth sign-in.

Monday, 9:00. A notice of hearing came in by fax overnight, and it has to land in the right matter and set two dates before the week gets away from you. With Claude or ChatGPT connected to Fax.Plus through MCP, that becomes a routine: you type one word, the assistant reads what arrived, suggests the matter, lists the dates and waits for your OK before it tags or schedules anything. Below is the process, how to set it up once, and one example run from our test, using a simulated notice with fictional parties.

Everything here is an example. Change the prompts, the order and the times to fit how you work; nothing is set in stone.

Before you start

  • Use an active Fax.Plus Basic plan or higher and an existing authorized Fax.Plus MCP connection.
  • MCP is unavailable for accounts with Advanced Security Controls, including HIPAA and PHIPA configurations.
  • The calendar step needs a calendar connector enabled in the same chat. Without it, the assistant lists the dates and you add them yourself.
  • Use matter numbers, not client names, in prompts and comments.

The process

Faxing is one step in a longer process. The steps marked Fax.Plus MCP are what the Fax.Plus connector does. The steps marked Optional are examples of other connectors you may already use: any connector you have set up in Claude or ChatGPT can be a step in your process, and the Fax.Plus connector is simply one part of it. The connectors do not talk to each other and Fax.Plus does not pass data to them: the assistant carries the information from one step to the next inside the same chat, because you told it to, and it asks for your OK before it changes anything. Whether an optional step works depends on your AI client and that connector.

  1. Fax.Plus MCP: a notice of hearing arrives by fax and the assistant reads it.
  2. Fax.Plus MCP: it lists every date on the page exactly as written and suggests which matter it belongs to.
  3. Fax.Plus MCP: you approve, and the matter number is written into the fax's comment.
  4. Optional, for example Google Calendar: the opposition and hearing dates become calendar events, after your OK.
  5. Optional, for example Google Drive: a copy or a short summary is filed with the matter, after your OK.
  6. Fax.Plus MCP: when you fax something back, the confirmation report for that transmission is collected.

Set it up once

Instead of pasting the rules into every chat, keep them where every chat can use them, so that one word starts a routine. The prompts are the same in Claude and ChatGPT; the setup steps differ a little.

  1. Connect Fax.Plus. In Claude, add it under Settings → Connectors. In ChatGPT, add it as a custom MCP app: turn on Developer mode, then go to Plugins → Browse plugins, select +, then Create app → Create MCP App, and sign in with your Fax.Plus account. Step by step: Claude and ChatGPT. Connect any other connectors you use the same way.
  2. Keep the instructions in a Project. Create a Project in Claude or ChatGPT, name it after the desk, for example "Fax desk", and paste the instructions below into the project's instructions, filling in the parts in [brackets]. If a connector does not show up inside a project chat in your client, open a regular chat instead and paste the instructions as your first message.
  3. Start a chat, make sure Fax.Plus is selected for it (in ChatGPT, choose FaxPlus from the apps or type @), and type a routine name. The assistant runs the steps and stops at every change for your OK.
  4. Edit the instructions whenever the routine should change.

Interface labels and plan availability differ between clients, so check the current screens in yours.

Fax desk instructions

You are my fax clerk for my Fax.Plus account. My matters: [list your matter numbers]. Rules: 1) Refer to matters only by the matter numbers, never by client name. 2) Before you change anything, such as a comment, a read status or a contact, show me exactly what will change and wait for my OK. 3) When you read a notice, list its dates exactly as written. If a date is not on the page, say so. Never calculate a legal deadline and never say what a deadline means legally. 4) Leave out fax numbers unless I ask. 5) Never send, resend or delete a fax unless I ask for it in that message. 6) If something fails, tell me what failed and check the current state before trying again. Routines, run one when I type its name. MORNING: show my received faxes from the last 24 hours; read each one and give the date, pages, what it is and every date on the page; suggest a matter from my list; wait for my OK before adding any comment; if a calendar connector is available, propose one event per date and wait for my OK. EVENING: get the confirmation reports for the faxes I sent today and say which show success; then list sent faxes from the last 24 hours that failed, or say there are none; do not resend anything.

Morning: read what came in

Type MORNING. In our test the fax was a one-page notice, and the assistant came back with: Notice of Hearing, Case No. 2026-CV-0412, matter ref 2026-0412, Harlow Supply Co. v. Brightwater Logistics LLC (fictional). Hearing on the Defendant's Motion to Compel set for Tuesday, November 17, 2026 at 9:30 a.m., Courtroom 4B. Written opposition due Tuesday, November 3, 2026. Requests to appear remotely must reach the clerk at least 5 court days before the hearing; the notice gives no calendar date for that, so the assistant listed the rule and did not work out a date. Reading is read-only. Guide: Find and read a received fax.

Read the notice

Read my newest received fax. If it is a notice with a date or deadline, list each date, what it is for and who sent it. Say so if there is no date on the page. Do not change anything.

Copy prompt

Morning, next: tag it with the matter

The assistant then asked for your OK. In our test it showed which fax it would change and wrote the comment 2026-0412 after the OK; reading the fax back showed the comment saved and the fax still unread. Guide: Keep your fax inbox tidy.

Tag by matter

Add the comment [matter number] to my newest received fax, then read it back to confirm it saved. Show me which fax you will change and wait for my OK.

Morning, next: the dates

With a calendar connector enabled, the assistant proposes the two events from the dates above. We did not run this step; check the date and the title against the original notice before you approve.

Add the deadline

Add a calendar event on [date] titled [matter number] opposition due. Show me the event first and wait for my OK.

Copy prompt

Add the hearing

Add a calendar event on [date] at [time] titled [matter number] hearing, location [courtroom]. Show me the event first and wait for my OK.

Evening: transmission reports

Type EVENING. The confirmation report records the result of the transmission. In our test it showed the date and time (UTC), the sending and receiving numbers, 1 page, 1 second and the status Successfully Sent. Guide: Check fax delivery.

Transmission report

Get the confirmation report for my newest sent fax and tell me whether it shows success. Leave out the fax numbers.

Failed-send sweep

Show my sent faxes that failed in the last 7 days with the reason. Do not resend anything. List them and ask me which to look at.

Keep it safe

  • A transmission report records the result of a fax transmission. Whether it counts for a court filing or a service rule is a legal question for your firm; it is not legal advice from Fax.Plus.
  • Documents you open are read by your AI assistant under that client's terms. Check your firm's policy on client data before you use it on privileged material.
  • Prompts that change your records or send a fax ask the assistant to show you the change and wait for your OK. Whether your client also asks for approval depends on its permission settings, so keep the Fax.Plus tools that send or change data on the setting that asks first.
  • If a reply looks wrong, do not assume nothing happened. Check the outbox and sent faxes before you try again.

FAQs

Is a Fax.Plus transmission report proof of service?

A confirmation report records the result of a fax transmission. Whether it satisfies a court rule or a service requirement depends on your jurisdiction and the rule in question, which is a question for your firm. Fax.Plus does not give legal advice.

Can I use Claude or ChatGPT on confidential client faxes?

When your assistant reads a fax, the content is processed by that AI client under its own terms. Check your firm's policy and the client's data terms before using it on privileged material, and use matter numbers instead of client names in prompts. Accounts with Advanced Security Controls cannot connect to MCP at all.

Do I need Fax.Plus Enterprise to use MCP?

No. OAuth connections are available on paid Fax.Plus plans starting with Basic. Enterprise is required for Personal Access Tokens. Your AI assistant has its own access requirements. See plan availability.

Can I connect a HIPAA or PHIPA Fax.Plus account?

No. Fax.Plus MCP is unavailable for accounts with Advanced Security Controls enabled, including HIPAA and PHIPA configurations. Keep the security controls required by your organization in place and contact Alohi to discuss a suitable integration.

Why does Claude not use Fax.Plus in my conversation?

Connecting the connector and using it in a chat are separate steps. Open the conversation, select + → Connectors and make sure FaxPlus is enabled. Also check the connector's tool permissions: tools set to Blocked cannot run, and tools set to Needs approval wait for your confirmation. If FaxPlus is missing from the list, go back to Settings → Connectors and confirm that it shows as connected.

Why does ChatGPT not use Fax.Plus in my conversation?

Select FaxPlus from the available apps or tools in the chat, or type @ and choose it. If it is not listed, open the app, sign in again and select Refresh. Available options depend on your ChatGPT plan and workspace settings.
