✦ AI-powered Fax

Transform Faxes into Actionable Data

Fax.Plus turns any incoming or outgoing fax into structured, ready-to-use data, so you can read, copy, or feed it straight into your other tools. Two HIPAA-compliant AI features, AI Text Transcript and AI Data Extraction, work directly inside the document viewer: get a full OCR text transcript or extract key fields as structured key-value pairs in one click, without retyping or switching apps.

How it works in the document viewer

Run either feature on demand from the Alohi AI panel, then copy, edit, or download the results. Outputs are cached per fax, so you can reopen a document later without using additional AI Credits.

1

Open the fax and launch Alohi AI

From your Fax.Plus inbox, select the fax you want to transcribe, and click the AI sparkle icon in the document viewer.

2

Generate the AI Text Transcript

Choose AI Text Transcript from the Alohi AI panel. Fax.Plus produces a clean, searchable text version of the fax content, including printed text, typed documents, and mixed-format pages.

3

Review and use the transcript

Read the text organized by sections like document, patient, or clinical information, then copy or download it as a .txt file for search, archiving, or downstream workflows.

1

Open the fax and launch Alohi AI

Go to your Fax.Plus inbox, select the fax you want to process, and click the AI sparkle icon in the document viewer.

2

Choose AI Data Extraction

Choose AI Data Extraction from the Alohi AI panel. Fax.Plus identifies key fields automatically, or applies the custom fields you've defined for your document types.

3

Review and export the data

Check the extracted key-value pairs, edit any field if needed, then copy or export them for direct use in EHR, EMR, CRM, billing, or other downstream systems.

Healthcare: Patient Referral

Referrals and prior authorization requests arrive as unstructured fax images, often handwritten. AI Data Extraction reads printed and handwritten forms equally, and returns the fields your team needs without reading the full document.

Patient First Name: John · Date of Birth: 15/11/1990

Referring Physician: Dr. Kim · Prior Authorization ID: 884421

Insurance Claim

Claim forms are frequently hand-filled by policyholders or agents. AI Data Extraction reads the handwriting, identifies the fields, and returns structured output ready for your claims system.

Frequently Asked Questions

OCR vs. AI Data Extraction: what's the difference?

Arrow
Fax OCR (Optical Character Recognition) converts a scanned fax image into machine-readable text, so you can search, copy, and reuse the content instead of staring at a static image. AI Data Extraction goes one step further: instead of a wall of text, it returns specific fields, like patient name, date of birth, or order number, as structured key-value pairs ready to push into your EHR, CRM, or billing system. Fax.Plus includes both, so you can choose the right output for each fax: AI Text Transcript when you need the full document, AI Data Extraction when you need clean fields.

Is Alohi AI HIPAA compliant?

Arrow
Yes. Both Fax.Plus AI features are HIPAA compliant. Processing happens entirely within the Fax.Plus secure environment, certified under ISO 27001, SOC 2 Type II, and HIPAA, with AES-256 encryption and 20+ data residency locations.

What is the difference between fax OCR and AI data extraction?

Arrow
Fax OCR produces a full text version of your document, useful for archiving and search. AI data extraction identifies and structures specific fields from that text, so instead of reading through a transcript to find a patient's date of birth, the system returns it as a labeled value ready for copy-paste or export. Fax.Plus provides both, inside the same document viewer.

How do I get fax data into my EHR or CRM without manual entry?

Arrow
AI Data Extraction reads the incoming fax and returns labeled fields: patient name, date of birth, referring physician, or any custom fields you define. Copy the output directly into your destination system or download it for structured import. Enterprise plans support auto-run on all incoming faxes so data is ready before anyone opens the document. Native EHR integration is coming soon.

Does Fax.Plus send my documents to a third-party AI provider?

Arrow
No. Fax.Plus runs a proprietary AI model. Your fax content is never shared with OpenAI, Google, Anthropic, or any external AI service. All processing happens inside the Fax.Plus infrastructure, within the same HIPAA-compliant, ISO 27001-certified environment that handles your fax transmission and storage.

Is AI data extraction better than OCR for faxes?

Arrow
OCR and AI data extraction solve different problems. OCR reads a document and returns text: accurate, but unstructured. You still have to find the fields you need and enter them manually. AI data extraction goes further: it identifies what the fields mean, labels them, and returns structured key-value output ready to use in another system. Fax.Plus provides both: AI Text Transcript for full OCR output, and AI Data Extraction for structured field extraction.

Can I define my own fields for AI Data Extraction?

Arrow
es. In addition to automatic field detection, Fax.Plus lets you define custom fields for the document types your team handles most. This is a key differentiator: most fax AI tools detect fields automatically only, with no option to customize. Custom fields mean your extraction output maps directly to your internal systems without manual adjustment.

How does Fax.Plus AI compare to iFax?

Arrow
Both platforms offer fax OCR and AI data extraction. The key differences: iFax extracts fields automatically only, with no option to define custom fields for your document types. Fax.Plus AI Data Extraction lets you define your own fields, so the output maps directly to your internal systems. Results are cached per fax on Fax.Plus, meaning your team re-accesses any extraction without spending additional credits.

How does Fax.Plus AI compare to eFax Clarity?

Arrow
eFax Clarity is a powerful healthcare-specific AI extraction product, but it is a separate enterprise solution that requires dedicated implementation and is designed exclusively for healthcare workflows. Fax.Plus AI Data Extraction is built directly into the document viewer, works across healthcare, insurance, legal, and finance, and is self-serve on any Enterprise plan. No implementation project, no industry restrictions, no separate product to manage.
