Check RingCentral’s HIPAA support for fax, its BAA request process, standalone Fax and RingEX distinctions, and the account settings to verify for PHI.
Yes, RingCentral offers fax services that can support a HIPAA-regulated workflow under an applicable, executed Business Associate Agreement (BAA). Confirm that the agreement covers your exact fax service and the settings used to handle protected health information (PHI).
The customer remains responsible for its overall HIPAA compliance, including use, access controls and connected systems. A BAA does not make an organization automatically compliant.
RingCentral is a communications provider with several products. This guide focuses on fax: the service you buy, who can see patient documents, and whether PHI or document copies pass through email or integrations and under which settings.
RingCentral’s March 2026 HIPAA white paper identifies RingCentral Fax among the services addressed by its BAA offering for paying covered-entity customers. That supports a fax-specific eligibility route, rather than relying solely on a general healthcare marketing statement.
It does not establish that your account already has an executed agreement, that every subscription has identical conditions or that every connected workflow is covered. Obtain the applicable customer agreement and confirm the purchased fax service, customer entity and configuration before using it for organizational PHI.
RingCentral’s current support guidance says covered entities or business associates using its services for organizational PHI must request a BAA. Request RingCentral’s own agreement from your representative at purchase; it is then sent for signature. Without a representative, contact its legal team. RingCentral states it cannot accept the customer’s own BAA form.
The March 2026 paper includes third-party products subject to applicable product and data-protection terms and their exceptions. Confirm the specific integration and data flow under the executed BAA and relevant terms.
RingCentral sells standalone fax and broader communications packages. A Fax 3000 subscription and a RingEX proposal should therefore be evaluated as different purchases, even when both provide fax functionality. For the wider communications and fax feature set, see our RingCentral Fax review.
For standalone fax, confirm the account’s BAA eligibility, included user access and administrative features. For RingEX, identify the tier and fax capabilities actually included in the order. The product name in a healthcare white paper does not establish every plan-level entitlement.
If your practice already uses RingCentral for phones, assess the additional cost and configuration of the fax workflow you need. Comparing an entire telephone bundle against a standalone fax subscription can obscure that decision.
Demonstrate the proposed account configuration with synthetic records. An incoming referral should reach the staff responsible for triage without giving unrelated users unnecessary access.
Check who can view each number’s fax inbox, who can send from it and how senders are identified. Confirm individual accounts, available authentication options, role permissions and how access is removed when someone leaves.
Ask which activity is available to administrators and what can be exported. A record of fax transmissions does not automatically establish a complete log of every document view or download, and successful delivery does not prove that a clinician read the fax.
Treat email-to-fax, notifications and incoming attachments as separate workflows. Establish what each message contains under the agreed healthcare configuration: status information, a portal link, a fax attachment or other patient details.
Confirm which settings are required, how email transport is protected and how forwarding or shared mailboxes affect access. Your organization also needs appropriate arrangements for the email and archiving services receiving those copies.
Ask RingCentral to document the retention settings, export options and deletion behavior applying to your purchased service. Identify what remains in the account, in backups and in any connected archive. Those answers should come from the current account configuration and contract, rather than an assumption that every RingCentral product behaves identically.
Independent assurance should be checked against the product and scope assessed. RingCentral’s March 2026 paper describes HITRUST certification for RingEX, RingCX and the RingCentral App. It separately describes a SOC 2+ HIPAA assessment for RingEX and RingCX.
Those scopes do not automatically establish the same certification or assessment coverage for a standalone Fax 3000 deployment.
Request the evidence applicable to your order, including the assessment period and covered services. A SOC 2 report or HITRUST certification is not a substitute for the required agreement and your organization’s controls.
Also distinguish encryption on protected application connections or stored data from transmission over the external public telephone network. Do not interpret platform encryption statements as proof that the entire fax route is encrypted end to end.
Confirm whether the required API or integration is included in the purchased product and tier. A developer page or integration listing does not establish a ready-to-use connection in your subscription.
Map the actual data flow: the application supplying the document, the fax service, the destination and any system storing the result. Verify the permissions, agreements and settings for each step. A successful synthetic test demonstrates behavior, rather than contractual coverage or clinical review.
Fax.Plus publishes this guide and provides a dedicated fax alternative. PHI workflows require Enterprise, enabled Advanced Security Controls and a signed BAA. The Alohi HIPAA documentation explains those prerequisites.
Stored files use AES-256 encryption with unique user keys, and Enterprise provides SSO and role-based administration. These controls help manage access; they do not replace the BAA or establish universal end-to-end encryption across the telephone network.
Evaluate the complete healthcare configuration against the way your front desk and clinicians work. Confirm number and telephone-bundle dependencies before changing fax providers.
RingCentral identifies Fax within its BAA offering for eligible customers. Confirm an executed agreement covering your purchased fax service and the account settings used for PHI.
Request RingCentral’s own BAA through your representative at purchase, or contact its legal team without a representative. Complete signature and confirm that your purchased fax service is covered.
Fax 3000 is a standalone fax purchase; RingEX is a broader communications offering. Confirm the fax features, BAA eligibility and administrative controls included in your actual order.
Confirm the permitted sending, notification and attachment workflows under your agreement and account settings. Assess mailbox access, forwarding, transport and retention alongside the fax service.
Not automatically. Published assurance claims have defined product scopes; request the documentation applicable to the standalone fax service or RingEX configuration you are purchasing.
The 2026 paper includes third-party products subject to applicable terms and exceptions. Confirm the specific integration and data flow under your executed BAA and product terms.
Confirm the executed BAA, purchased fax service, staff permissions, email settings, retention and connected applications. Review those against the clinic’s actual document workflow and responsibilities.
Fax.Plus requires Enterprise, enabled Advanced Security Controls and a signed BAA for PHI. Evaluate staff permissions and connected systems under that configuration.
